Employer moneyCard, or claim it back

Using your Espresa account on chit

Espresa is the one to read carefully before you tap. Its LSA debit card is gated by Merchant ID and Merchant Category Code, and Espresa states outright that a card can decline because of the merchant's category even when the item itself looks eligible. So treat the card as the optimistic route and reimbursement as the reliable one — and know that Espresa's published eligibility pages are organised around wellbeing rather than home office, which makes your own plan guidelines the only thing worth trusting.

How to get it covered

Every step below comes from the platform's own documentation, linked beside it, with the date we read it.

  1. 1

Read your plan guidelines first. Espresa's claim flow tells you to open the account and read its policies and guidelines before filing, because eligibility is set per plan.

  2. 2

Be careful with the card. Espresa's LSA debit card only works at eligible merchants, gated by Merchant ID and Merchant Category Code — and Espresa states plainly that a decline may simply mean the merchant's category is not covered, even if the item itself seems eligible.

  3. 3

If it declines, Espresa says you may still be able to submit an out-of-pocket receipt for manual review. That is the reliable route for a purchase like this.

  4. 4

Log in, go to the accounts or reimbursements page, select an available account, fill in the form, and attach the invoice PDF from your chit receipt email.

  5. 5

Some accounts include attestation questions — complete those if they appear, then submit. Your claim is reviewed and finalised according to the plan guidelines.

What your receipt has to show

  1. Espresa accepts PNG, JPEG, JPG, PDF, DOC, DOCX, XLS and XLSX, and asks for a simple filename with no special characters.

  2. Claims stall as Pending User Action when the receipt does not match the claim or information is missing; Espresa's adjudication team leaves a note in the claim chat explaining what is needed.

Expensing an AI voice recorderDraft
Hi —

I'd like to expense a chit AI voice recorder ($129). It's a card-sized recorder I hold down to capture what was said, and it writes the notes and the follow-ups afterwards.

As account executive, most of what I need to write down later gets said out loud first — in meetings, on site, in the car afterwards. This closes the gap between saying it and it being written down, which is where things currently get lost.

I'd put it through Espresa. I'll have an itemised invoice — merchant, date, line items, total and payment method — so there's nothing outstanding for the receipt.

Happy to write up how it goes after a month if that's useful.

Questions

Good questions

Why did my Espresa card decline?

Most likely the merchant category. Espresa explains that eligibility is determined by Merchant IDs and Merchant Category Codes, and that a merchant whose category is not covered by your plan will be blocked regardless of what you were buying — it even notes that large retailers selling both eligible and ineligible items under one code have to be blocked entirely.

Is a productivity device covered by Espresa?

Espresa's published eligibility pages are built around five wellbeing pillars, and there is no home-office or productivity-hardware category among them. That does not mean your employer has not funded one — Espresa's product materials do mention home office and professional growth allowances — it means the answer lives in your plan guidelines rather than on Espresa's public site. Read them in your account before buying.

What file formats does Espresa accept?

PNG, JPEG, JPG, PDF, DOC, DOCX, XLS and XLSX. Espresa also asks for a simple filename without special characters. The invoice we email is a PDF with a plain filename.

What happens if my claim stalls?

Espresa marks it Pending User Action, which it uses when the receipt does not match the claim, information is missing, or a receipt is absent. Its adjudication team leaves a note in the claim's chat explaining what is needed, and you reply and re-upload there.

Will Espresa reimbursements be taxed?

Espresa states that in many cases LSA reimbursements are considered taxable income and may be reported as part of your earnings, subject to payroll taxes. Its public FAQ is blunter still: LSA benefits are post-tax. This is not tax advice — ask your employer how your plan is set up.

Other platforms

This is general information, not tax advice. How a reimbursement is taxed depends on the plan your employer wrote, and only they — or your own accountant — can tell you which one you are spending from.
