Separate the reported issue from your own observations, then describe the work actually completed. If another decision or visit is needed, say which information is missing and who will obtain it. Read identifiers from the equipment or established job record rather than reconstructing them from memory. Before sharing the resulting text, check model numbers, quantities and dates against those sources. Keep a proposed repair distinct from work the customer has approved through your normal process. A useful handoff ends with one specific action, an owner and a date or next checkpoint.
