Expensing chit in Ramp

Ramp is an expense platform rather than a perk budget, which means the money you are spending is your employer's operating budget and the reimbursement generally is not taxable to you. It also has the most submission routes of anything here — web, mobile, email forwarding, even SMS — so the friction is close to zero once your finance team has switched reimbursements on.

How to get it covered

Every step below comes from the platform's own documentation, linked beside it, with the date we read it.

    On the web, go to Home, then New, then Reimbursement, and drag the invoice PDF in.

    Ramp's own wording for a purchase like this: paid with cash or a personal card, submit it as a standard out-of-pocket reimbursement, entering the merchant, amount and transaction date yourself.

    There are two shortcuts. You can email a receipt to Ramp, which creates a draft under Drafts — the address is in your profile under Receipt forwarding, and the sending address has to be verified with a six-character code first. You can also text a receipt to Ramp from the mobile app.

    Make sure your bank details are set under Profile, My Settings, Banking. ACH reimbursements arrive in three to five business days once approved.

What your receipt has to show

  1. Ramp accepts jpg, jpeg, png and pdf, up to 60 MB — though web submissions are capped at 10 MB.

  2. If you have lost a receipt entirely, Ramp lets you choose I don't have a receipt when creating the reimbursement, unless your company requires one. You will not need that here.

Expensing an AI voice recorderDraft
Hi —

I'd like to expense a chit AI voice recorder ($129). It's a card-sized recorder I hold down to capture what was said, and it writes the notes and the follow-ups afterwards.

As account executive, most of what I need to write down later gets said out loud first — in meetings, on site, in the car afterwards. This closes the gap between saying it and it being written down, which is where things currently get lost.

I'd put it through Ramp. I'll have an itemised invoice — merchant, date, line items, total and payment method — so there's nothing outstanding for the receipt.

How do I submit something I paid for personally?

Ramp calls this a standard out-of-pocket reimbursement: from Home, choose New and then Reimbursement, then enter the merchant, amount and transaction date yourself and attach the receipt. You can also start it by forwarding the receipt by email or texting it from the mobile app.

What is Ramp's receipt-forwarding address?

We are not going to print one. Ramp obfuscates it on its own help pages, which is exactly the situation where a confidently wrong address wastes your time. Find it in your Ramp profile under Receipt forwarding — and note you have to verify the sending address with a six-character code before forwarding works.

Which formats and sizes does Ramp accept?

jpg, jpeg, png and pdf, up to 60 MB — but web submissions are capped at 10 MB. Our invoice PDF is a couple of hundred kilobytes at most.

Reimbursements are not showing up as an option. Why?

Reimbursements have to be enabled company-wide by your finance team before employees can submit them. If the option is missing, that is the reason, and it is not something you can turn on yourself.

When does the money arrive?

Ramp says ACH reimbursements land three to five business days after approval, provided your bank details are set under Profile, My Settings, Banking.
